The email sending feature from Workflow helps users update task information via email to relevant people inside and outside the Base system.
Note : Only System Owner and Worflow Owner have the rights to set up this feature. 

To set up email sending from Workflow, select the Base Workflow app icon from the app menu or access the link https://workflow.base.vn/ and kindly follow the instructions below:

Step 1 : Go to Workflow Settings and scroll down to the section Email. Click on add email template to setup.

Step 2: Set up email details

- Send an email when:

  • Job move to stage: Email is sent when job moves to selected step (can select from multiple steps).
  • Job back to stage: Email is sent when job back to selected (can select from multiple steps). 
  • Job done: Email is sent when job completed. 
  • Job failed : Email is sent when job is marked failed.

- Email template name
- Email information
+ From: Users can customize the sender name, default sending email from Base email: abc@gmail.com
+ To/CC: Enter email or assign variables according to custom text fields    

+ Title: Enter the Title of the email, can assign variables according to custom fields and default variables

+ Content: The content of the email Can assign variables to custom fields (except file custom fields)
+ Attachment: Use available attachments (<30mb) fields (attachment, file custom fields)  


 *Instructions for adding variables to email templates

  • Includes default variables and custom field variables
  • The list of variables depends on the input field, displayed right next to it by the (+) symbol. 

            

* Email sending history                                                                                           

Note : Only System Owner and Worflow Owner have the rights to view email sending history.

This section contains the following information: 

  • Log ID
  • Job Name
  • Email template 
  • Event
  • Status: Success/Error -> has "Resend" option
  • Error message
  • Sent at
  • Action


When the email is sent successfully, the user will receive a notification of the email being sent and the information will be displayed according to the created email template.
