To set up the approval workflow for Recruitment requests at Hiring, you can access Base E-Hiring through the app menu bar, or go to the link https://hiring.base.vn/ - then follow the steps below:
Step 1: In Settings, select Request Settings >> Recruitment request


Step 2: Here, you can add approvers, there are 4 types of Approvers:

+ Fixed approver
+ Direct manager
+ Flexible approvers
+ Conditional approvers
2.1: Fixed approver


- Block name: General role of the approval block, e.g., Board of Directors, HR Manager, etc.
- Approver: tag @username member, this member will be the default approver for all request.

- SLA in hours for approvers: fill in the approval deadline in hours, and the request will be reminded to the approver.

2.2: Direct manager:


- With this type of approver, when creating a proposal, the creator can choose/tag their direct Manager to approve the proposal.
- Select "Yes" if you want members to only be able to choose the direct manager set up on their Base Account.

Choose "No" and members can tag any direct manager.
- SLA in hours for approvers: fill in the approval deadline in hours, and the request will be reminded to the approver.

2.3: Flexible approvers

- Set up dynamic approvers in case the request creator wants to consult additional opinions from people not pre-established in the approval flow, or is allowed to choose approvers from the established dynamic approver list.
- Block name: General role of this flexible approvers (e.g., board of directors, accounting department,...)
Only allow to select flexible approvers in the setup list

+ If you choose Yes: there will be one space to fill in list of approvers and request creator must choose approver from the setup list

+ If you choose No: The proposal creator can tag any approver flexibly.
- SLA in hours for approvers: fill in the approval deadline in hours, and the request will be reminded to the approver.


2.4: Conditional approver:
- Set up based on conditions derived from the information of the Creator, the Creator's Group, Job Position, Department - to select the Approver for each case.
- Block name (e.g., board of directors, administrative office, etc.)
- Choose the approver when the proposal meets multiple conditions at the same time:
+ Choose approvers of all satisfied conditions.
+ Choose approvers of first satisfied condition.
Note: In case a request does not meet any condition of the request approver block, the system will not send the request to any reviewer of this block and will forward it to the next approver block.

- Click Create a new one to add condition >> Name the condition


*Add a condition: If....Then...
Add a condition If. The conditions can be Creator, Creator's Group, Position, Department.
Example: If Job Position = Product
And (or) Creator = @phuongdo

Add the condition Then
Then the approver is the Director - @thuha
You can click the two dots next to the approver's name to add an SLA - approval deadline for the approver or change the order, remove the approver:
Then click Save to complete the condition addition process.

Step 3: Set up the Approval Flow.
3.1: Approving workflow

There are the following types of approval workflows:
Sequential: Approve request in order; whoever is tagged first in the review flow will be the first to review. The first reviewer approves, then it is the next person's turn to review. When all approvers accepted, the request is approved.
Parallel: no distinction between prior and subsequent approval. When all approvers accepted, the request is approved.
Single: Just one person needs to approve, as long as one person agrees, the request is fully accepted.

3.2: Priority of approver role (when among the blocks there are duplicate approvers)
When creating a request, if a user belongs to 2 or more approval blocks, the user's position in the approval flow of the newly created request will be determined by the set priority order.
Example:
Set the priority for the approver role to appear first.
Set the order of the approver  blocks as: Fixed approver > Flexible reviewer > Direct manager
User A is tagged as both the Fixed Approver and the Direct Manager.
>> The position of user A in the approval flow will be determined by the Fixed Approver group, as the approval workflow is set up: the Fixed Approver appear before the Direct Management block.

3.3. Allow HRM to edit the proposal after  full approval: Allow or Not allow
Note: HRM can adjust the number of hires.

Step 4: Add default "Followers" for the proposal
The added person will automatically become a Follower of the recruitment requests created thereafter.
You can also click on the two dots next to the follower's name to delete or change the position of that follower.

After the above steps, you have completed the approval workflow for the recruitment request.

Currently, members (with sufficient permissions) can create recruitment request for each position, following the instructions HERE.
