During their time at the company, employees are regularly evaluated based on performance. If there are repeated errors or failure to meet targets, a demotion may be implemented. Recording the demotion in the employee’s profile helps management assess performance over time and better understand changes for future decisions. It also allows the employee to recognize areas for improvement and strive to do better in the future.

To initiate a demotion, go to https://hrm.base.vn/ or select Base HRM from the app menu and follow the instructions below:

Case 1: Demoting a single employee

Step 1: Go to Career Development → Career → Add HR Decision

Step 2: Select the employee and choose the appropriate demotion policy → click Continue

Step 3: Fill in the demotion decision details. Fields marked with * are required.

  • If you only need to update the employee’s salary, select Completed in the Status field.

  • If a new salary proposal requires approval, select Pending Approval.

  • PIC: Person in charge of the decision

  • Proposed by: Person who initiated the demotion proposal

  • Consulted with: Person authorized to provide feedback or assessment on the demotion

  • Click Process template file to auto-fill information using a downloadable template based on the selected policy.

  • Tick Confirm that the employee is eligible for the career policy to verify compliance.

Click Save to complete the proposal.

Case 2: Demoting multiple employees at once

Hover over Create new → Select Import HR decisions

Choose one of the following options:

  • Import current and upcoming approved decisions: for decisions already approved and either active or scheduled

  • Import pending decisions: for decisions still under review

  • Import past decisions (excluding current ones): for previous decisions that are no longer in effect

You can select a single policy under “HR Policy” to apply it to all entries, or leave it blank to import decisions under different policies.

Click Download to get the template file and fill it in accordingly.

Definitions

  • PIC: Person in charge of executing the decision

  • Proposed by: Person recommending the demotion

  • Consulted with: Person authorized to provide insights or suggestions

Additional Options

  • Validate employee codesCheck this box to ensure employee IDs are matched correctly with decisions.

  • Notify employees: Check to send a notification about the decision.

  • Register new tax/insurance policy: Check if tax or insurance policy needs to be updated. If checked, the following fields in the file must be filled:

        - [Tax] Tax Policy[Tax] Join Date,
        - [Insurance] Insurance Policy[Insurance] Join Date.

  • Generate template files: Check to auto-create documents using a preset format.

*Tip:
To speed up the process, instead of manually entering Employee IDNamePositionOffice, and Division in the import file, go to Employee List, hover over Create new, select Custom export → Export full information, then copy & paste the data into the corresponding columns of the import 
template.
