Base HRM - Leave: Set up automatic annual leave accrual schedule in

Before the new year, there will be a situation where employees do not use up all their leave in the old year, and the company has a policy to carry over that remaining leave to the new year. Setting up a schedule to automatically accumulate annual leave in advance will help when the old year ends, the annual leave and seniority leave will automatically be converted to remaining leave according to the schedule.
To set up automatic timesheet accumulation, visit https://hrm.base.vn/ or select Base HRM on the app bar and follow the instructions below:
- Step 1: Go to HRM >> in C&B Policy >> select Leave.
- Step 2 : In the policy you need to install, click the icon " .. " >> Schedule automatic annual accumulation
- Step 3: Fill in the information according to the table
1. Schedule the accumulation on the day:
+ You choose the day and month you need to schedule according to your needs. For example, add up to the last day of December.
+ The system automatically updates at 8:00 p.m. on December 31 every year.
+ Once the system has successfully accumulated the data, it cannot be transferred back.

Note: In case you need to manage this remaining leave in detail, for example, remaining leave 2024 can only be requested until March 31, 2025. Unused leave cannot be used to request leave after this time.
Please refer to the Expiry date feature. (not required to install)
+ This is the date limit that you can request leave using the remaining leave. If you request leave after this time, the system will warn: Unable to create leave proposal after mm/dd/yyyy
+ Select the components to be added, the unselected ones will not be added to the new year inventory.
- Annual leave
- Seniority
- Old Year's Retention
+ You can change the order of these 3 components, so that when you request new year leave within the remaining leave period, the system will only deduct leave in the order of the selected items.
+ In the sphinx's license number details, there will be an additional column "Proposed license number for next year"
***Specific example
- Permit expiration date: Last day of March (March 31)
- Cumulative components include annual leave + old leave (not taking seniority)
- It is currently 12/20/2024, and the employee created a leave request for 2025.
- Priority leave group deducted from annual leave fund
a. Case 1
Request timeoff for annual leave from 01/01/2025 - 31/03/2025
- When browsing the system, subtract the permission from Year permission > Existing permission
- If annual leave + old year's remaining leave is missing, the system will deduct from Compensatory leave. (Not deducted from seniority)
- If there are not enough compensations to use or the year's allowance + old year's allowance + compensation are not enough, the system warns:
"Do not use the remaining spell after 31/03/2025"
b.. Case 2
Requesting timeoff for annual leave after March 31, 2025, the system will block creation/editing and reporting.
*** Special case : You need to carefully check the maximum cumulative number before doing the above operation.
=> For example, the leave policy you are setting allows a maximum of 12 days of leave, but the employee currently has 15 leaves >> Then the accumulation operation will default to only recording 12 leaves according to the settings. Therefore, you need to check the current leave policy allowing a maximum of 12 leaves to be accumulated by the following operation:
- Step 1 : In that permission policy, select ".. " >> Edit.
- Step 2 : You check again the "Maximum number of days of leave left " section >> Save when you have checked the information, the maximum number of leaves will be accumulated for the employee.
